Implementation Guide

Live in about 2–3 months. Three phases, each signed off before the next.

Rollout timeline

~2–3 months

  • No downtime — pilot first
  • Security documentation available

Three Phases

Phased rollout, minimal risk.

01Build · 4–6 wk

Build & Prepare

Map how you work today, then build the system around it.

Phase 1~4–6 weeks

Key work

  • Workflow mapping: assessment → fitting → delivery → follow-up
  • Data fields and required-field rules
  • Stores, roles, products and forms

Deliverables

  • Rollout blueprint: scope, timeline, roles, success criteria
  • Working version, tested on 5–10 full cases
02Pilot · 2–4 wk

Pilot & Tune

Go live in 1–2 stores and smooth out the friction.

Phase 2~2–4 weeks

Key work

  • Weekly reviews with issue triage
  • Tune forms, prompts and steps

Deliverables

  • Pilot acceptance report
  • Repeatable SOP + rollout plan
03Deploy · ~2 wk

Deploy & Hand Over

Roll out in waves; HQ manages every store on one set of metrics.

Phase 3~2 weeks

Key work

  • Waves sized to your store count
  • Training for clinicians, managers, ops and HQ

Deliverables

  • All stores live, staff trained
  • Handover docs: workflows, fields, metrics, training

Data migration

Your existing data, cleaned before it moves.

We help set up and import your data: clean it, trial-import it, and switch over only once it checks out.

Illustration
  1. 01

    Take stock

Paper, scans, spreadsheets and existing systems such as audiometry software — list where each lives and who owns it.

  2. 02

    Map fields

Map them to the new system's fields and required-field rules, agreed together in Phase 1.

  3. 03

    Clean & de-duplicate

Normalize formats; flag possible duplicates for staff who know the customers to confirm before merging — keeping the original source.

  4. 04

    Trial import & check

Import for the pilot stores first; audiologists spot-check a sample against the originals.

  5. 05

    Cut over

A final count before cutover becomes the opening balance in the new system — stores stay open.

How much history to bring — all of it, or just the most recent tests — is your call, made with your audiologists.Data-readiness checklist

Roles

Done together, clearly divided

We lead the rollout. Here's all we need from you.

You provide

4
  • One point of contact
  • Current workflows and staff list
  • Pilot stores and staffing
  • Existing data sources and integration needs

We handle

5
  • Rollout blueprint, timeline and acceptance metrics
  • Build, configuration, customization and testing
  • Pilot feedback, tuning and version updates
  • SOPs, training materials and seed-user training
  • Dashboards and go-live handover docs

Together

  • Define success together

The Phase 1 blueprint sets scope, timeline, roles and success criteria.

  • Weekly pilot reviews

Issues triaged; forms and steps tuned to store feedback.

  • Sign-off at every phase

Each phase is signed off before the next begins.
